Position Description: 

 

The Maintenance Administrative Assistant will support the Maintenance Coordinator on a daily basis.  This position will support an industrial manufacturing facility and will coordinate general maintenance services for the Denver facility. With direction from the Maintenance Coordinator, the Maintenance Administrative Assistant will contact and schedule appointments with vendors, and perform administrative duties. Provide excellent customer service to employees in all departments responding to requests. Maintain inventory of departmental parts, products, supplies and corporate assets. Provides administrative support to Maintenance and Facilities department as well as project support to other cross functional departments. Administrative duties include filing documents, updating work order documents, maintaining Excel spreadsheets and enterprise resource planning software system, to include inventory management. Completes required documentation to ensure compliance to cGMP’s.

 

The Administrative Assistant will also be responsible for:

 

Provide customer service support to all departments to ensure their general office and overall needs are met. Provide direction and assistance to ensure successful project completion.  Assist with visitor control systems and processes (checking in visitors, issuing badges, escorting visitors and contractors). Assist with sorting and delivering US mail and interoffice mail. Assist with coding and delivering invoices for approval and submission for payment. Maintain inventory of related supplies (paper, staples) report low stock to Facility Services Coordinator. Maintain records for Maintenance. Assist with collecting bids and evaluating vendors for service agreements and contracts. Maintain inventory of departmental parts, products, supplies (breakroom, restrooms, safety, PPE, etc.) and corporate assets. Assist with data entry and spreadsheet creation. Assist Maintenance team with tasks as needed.

 

Education & Experience: 

 

Degree in related field and 3 years’ experience; OR high school diploma (or equivalent) and 5 years’ experience in a manufacturing/industrial environment (pharmaceutical, biotech, food manufacturer or electronics preferred)

 

Certificates or licenses: Certification in Microsoft Office (preferred), and certifications in trades (preferred)

 

Other Knowledge, Skills, and Abilities:

 

Typing and 10-key skills; computer skills with related software (Microsoft Office products, including Word, Excel, PowerPoint). - Excellent interpersonal skills. - Ability to present a professional image. - Ability to handle difficult people in a calm and tactful manner. - Ability to deal with job interruptions. - Ability to be discrete when exposed to confidential information. - Excellent verbal communication, organizational and writing skills.
